Certiflow is a software solution that enables your company to organize, request and document the certificates required for supplier relationships simply and clearly!

Your supplier is obliged to provide you with certain certificates. These must be properly documented and imported into your ERP or merchandise management system to ensure an efficient and secure supply chain.

The quality assurance of your supplier relationship is automated with Certiflow. This means you have a comprehensive overview of your current certification status and are always well prepared for an audit.

Checklists

Checklists have already established themselves in various industries as a proven method for ensuring quality standards. We have adapted this principle for Certiflow and offer you a platform that manages the allocation of certificates to suppliers using checklists.

Notifications

You can contact your suppliers directly from the platform by email. This allows you to simply and easily request missing checklist entries (e.g. certificates) and have them delivered by the supplier.

Supplier portal

Your supplier also benefits from Certiflow. They can transmit and allocate the certificates themselves, making it easier for both sides to check and document the certification status.

Retrospective certification status

You are firmly in the saddle for your audit! With Certiflow, you can prove at any time which certifications were available at which time for each supplier and each source of supply.

Slack + Mattermost Integration

As soon as a supplier performs an action on the platform (e.g. uploading a certificate), a message is automatically published in any channel of your Mattermost or Slack space. If you do not use Slack: It is an intranet messaging service similar to WhatsApp.

Support

If you have a problem using Certiflow, the platform has a help function with a ticket system. This makes it easy for you to contact us.

GUS-OS ERP Integration

Certiflow synchronises the supplier master data and the release status of suppliers and sources of supply live and automatically from or to your GUS-OS ERP system. The integration works in any CIS installation with minimal set-up effort. Thanks to our GUS-optimised interfaces, no project-specific programming is required, just the installation of an update package.

Core Features

Overview

Maintain an overview of the certification status of all your suppliers at all times. The overview groups these according to their criticality (documents with and without expiry dates, optional documents) and thus shows any urgent need for action in a focused manner. The overview can also be sorted by document type (e.g. Organic or GFSI certificate) so that the desired certification hygiene can be achieved efficiently even if tasks are distributed within your QA team.

Products & Suppliers

Maintain full control over all suppliers from whom you can purchase a specific product. The product overview indicates the corresponding status using the proven traffic light system, which is clear and easy to understand. Your purchasing department is able to access all information (certificates and other documents) from Certiflow for operational use, so every purchase of goods is secured.

Requirement lists / Checklists & Archive

Like in aviation a checklist provides an important pillar of workflow organization. It's safe to review the execution of a task but may be catastrophic to forget about it. Certiflow solves this by organizing all documentary requirements for suppliers and products within checklists. Those contain every needed document that is required for the specific entity (product/supplier) and incoming documents shall be assigned to one of those checklist items by your quality assurance team. Certiflow also archives those documents for longterm access and audit-proof accessibility.

Supplier Self-Service Portal

The most amazing part of Certiflow consists of the supplier self-service portal which allows your supplier to upload every needed document in an intuitive way from anywhere arround the globe in just seconds. The trafficlight system also applies here, enabling your supplier to easily identify missing documents and upload them. Certiflow also sends reminder messages for missing documents linking to this self-service portal which underlines this straight-forward workflow for your suppliers. You may need less and less time to request documents manually.

Service and Hosting

You can decide: Either you entrust us with the hosting of your Certiflow platform or you operate the platform in your data centre (on-premises). Operation requires a Linux server, so there are no licence costs (unlike other operating systems). The advantage of the version hosted by us is automatic updates and security checks. The advantage of the on-premises installation is your flexibility and management by your in-house IT.

Compatibility

Certiflow can be run on any platform. The application is web-based and therefore enables you to use it flexibly on a wide range of operating systems and end devices.
